What we collect when you browse this site or book a place, why we hold it, and the control you have over it.
1. Who is responsible for your data
The Muslim Forefront Summit is the data controller for the personal information described in this policy. You can reach our team about anything on this page at support@99e.co.uk or +44 7485 730653.
2. What we collect
- Booking details — name, email address, phone number, the package and dates you chose, room preference, and the name of anyone travelling with you.
- Travel information — passport details where a supplier requires them, arrival and departure times, plus any dietary, medical or accessibility need you choose to tell us. Health and dietary information is treated as a special category of data and is shared only with the supplier who needs it.
- Correspondence — emails, messages and call notes exchanged with our team.
- Site usage — basic technical data such as pages visited, approximate location from your IP address, device and browser type, and the referral link you arrived through.
3. Why we use it
We use your information to take and confirm your booking, arrange accommodation, transfers and excursions with our suppliers, keep you informed before and during the tour, handle refunds and complaints, and meet our accounting and legal obligations.
Our lawful bases are: performance of our contract with you (booking and delivering the tour), legal obligation (tax and accounting records), your consent (marketing emails and special category data such as dietary or medical needs), and our legitimate interests in running and improving the Summit safely.
4. Payments
Card payments are processed by Stripe. Your card number is entered directly with Stripe and never reaches or is stored on our systems; we receive only a confirmation, the last four digits, and the amount paid. Where you agree to keep a card on file for a later add-on purchase, that card is held securely by Stripe under their own privacy terms.
5. Speaker referrals
If you book through a speaker's link, we record that speaker as your host so we can group you correctly on tour and account for any referral fee. Speakers are told who has booked into their group and are bound to use those details only for the purposes of the tour. Referral information is read from the link you arrive on — we do not track you between visits for this purpose.
6. Who we share it with
We share the minimum necessary with hotels, coach and transfer operators, guides and venues in Bosnia; with our payment processor and email and hosting providers; and with professional advisers or authorities where the law requires it.
We never sell your personal data. Where a supplier is outside the UK, the transfer is covered by an adequacy decision or by standard contractual clauses.
7. How long we keep it
Booking and financial records are kept for seven years to meet UK accounting requirements. Passport and health details are deleted within three months of the tour ending. Marketing contacts are kept until you unsubscribe, and site analytics are retained for 26 months.
8. Cookies
We use essential cookies to keep your booking working from step to step, and analytics cookies to understand which pages help people decide. Analytics cookies are set only with your agreement, and you can change your mind at any time through your browser settings or by contacting us.
9. Your rights
Under UK data protection law you may ask us for a copy of the data we hold about you, ask us to correct or delete it, object to or restrict how we use it, ask for it in a portable format, and withdraw consent at any time. Withdrawing consent does not affect anything done beforehand.
Email support@99e.co.uk and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
10. Security & contact
Access to booking data is limited to the team members who need it, connections to this site are encrypted, and our providers are chosen for their security practices. No system is perfect — if a breach affects your rights we will tell you and the ICO as the law requires. Questions about this policy go to support@99e.co.uk.
